AdaptaBill is designed with privacy as a core principle. AdaptaBill does not use Adapta Labs servers, user accounts, analytics, or tracking. Your working data is stored locally on your Mac.
Local Storage Only
All data created and managed by AdaptaBill — including client information, billing records, invoices, and financial summaries — is stored locally on your device. Except for the optional Google Calendar integration described below, AdaptaBill does not upload or transmit your data to any external servers, cloud services, or third-party platforms. Note that macOS system features such as iCloud may independently sync certain local folders, and any files you export from AdaptaBill are under your control. AdaptaBill itself does not initiate any data transfers.
Encryption
AdaptaBill automatically encrypts your spreadsheet and archive data, including the automatic backup copies the app creates, using AES-256-GCM encryption. Additionally, password protection is available for both PDF invoice files and app-level access. These security features are provided as convenience measures and are not represented as meeting any specific security certification or regulatory standard. No Data Collection or Tracking
AdaptaBill does not collect analytics, telemetry, behavioral data, crash-reporting data, or usage data for Adapta Labs, LLC, and it does not send your stored billing data to Adapta Labs servers. AdaptaBill does not include advertising trackers or account-based data collection. Adapta Labs does not receive in-app usage data or the contents of your stored records through AdaptaBill itself. However, when you use email, calendar, exports, backups, cloud-synced folders, or other macOS or third-party services, those systems may handle data independently of AdaptaBill.
No Accounts Required
AdaptaBill does not require you to create an account, provide an email address, or sign in to any service. The app is designed to operate locally on your Mac and does not require an AdaptaBill account or cloud service. Signing in with Google is entirely optional and is only used if you choose Google Calendar as your calendar source (see Google Calendar Access below).
Purchases and Subscriptions
AdaptaBill is sold through the Apple Mac App Store on a subscription basis. All purchases, free trials, renewals, cancellations, and refunds are processed entirely by Apple. Adapta Labs never sees or stores your payment card details, billing address, or Apple ID credentials. The app checks your subscription status on your device through Apple's StoreKit framework. Apple's handling of your purchase information is governed by Apple's Privacy Policy.
Apple Calendar Access
AdaptaBill requests read-only access to your Apple Calendar to import appointment data for billing purposes. This access is controlled through macOS system permissions and can be revoked at any time in System Settings. AdaptaBill reads calendar data locally and does not transmit it. However, macOS Calendar may sync to cloud services by default, which is outside AdaptaBill's control. Users are responsible for configuring their calendar syncing settings appropriately.
Google Calendar Access
As an alternative to Apple Calendar, AdaptaBill can connect directly to your Google account to import appointment data for billing purposes. This is optional — you choose your calendar source in the app's Configuration settings, and Google Calendar is only used if you sign in. Both personal Gmail and Google Workspace accounts are supported.
When you choose to connect Google Calendar, AdaptaBill uses Google's standard OAuth sign-in flow, which opens in your default browser. AdaptaBill never sees or stores your Google password. AdaptaBill requests two scopes: read-only calendar access (https://www.googleapis.com/auth/calendar.readonly) and your email address (email). The email scope is used only to display the Google account you are signed in with, so you can confirm which account is connected. The calendar scope is used to read your calendar event data — event titles, start and end times, and calendar names — solely to generate billing records that are displayed within the app on your device. All calendar data is processed locally on your Mac. There is no server-side component, so your calendar data never leaves your device, is not transmitted to Adapta Labs, and is not shared with any third party. AdaptaBill does not use Google user data for advertising, for machine-learning or AI model training, or for any other secondary purpose. AdaptaBill's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
The access and refresh tokens returned by Google are stored securely in your Mac's Keychain so you do not have to sign in every time. Event data fetched from Google is used locally on your Mac for billing and is not transmitted to Adapta Labs. You can disconnect at any time by choosing Sign Out in the app's Configuration settings, which removes the stored tokens from your Keychain and requests revocation of AdaptaBill's access on Google's side. You may also revoke access directly from your Google Account permissions page.
Contacts Access
AdaptaBill offers an optional "Insert from Contacts" feature that lets you fill in a client's name or email address from macOS Contacts. This uses the standard macOS contact picker: only the specific contact information you select is copied into your local AdaptaBill data, at your direction. AdaptaBill does not scan, store, or transmit your contacts database, and contact information you import is stored locally like all other AdaptaBill data.
Email Integration
When you choose to email invoices, AdaptaBill creates emails with PDF attachments using your default Mac email client. AdaptaBill does not access your email account credentials or read your emails. Emails are not encrypted by default. Users are responsible for determining whether email is an appropriate method for transmitting billing or client information and for ensuring compliance with any applicable requirements. Privacy Features
AdaptaBill includes additional privacy features such as anonymized filenames and the option to store data in a local Application Support directory that, at the time of this writing, does not sync to iCloud by default. These features are provided for convenience and are not guaranteed to meet the requirements of any specific regulatory or professional standard. Future changes to macOS by Apple may alter syncing or storage behavior.
Data Export
AdaptaBill allows you to export your data in multiple formats including CSV, Excel, and Numbers. Exported files leave AdaptaBill's encrypted in-app storage environment, are not encrypted, and are saved to locations you choose on your Mac. The optional Payment Exchange feature, which is turned off by default, writes an unencrypted CSV file containing client and payment information to a folder you select. You are solely responsible for securing, storing, transmitting, and deleting exported files.
Data Retention and Deletion
Adapta Labs has no servers and retains nothing, so there is no data for us to delete on your behalf. Everything AdaptaBill creates lives on your Mac under your control. You can delete individual records within the app, delete exported files and backups in Finder, and remove the app's stored data by deleting its container folder when you uninstall. Signing out of Google Calendar removes the stored tokens from your Keychain and revokes AdaptaBill's access on Google's side. Because we do not collect or hold your personal information, privacy-rights requests (such as access or deletion requests) concern data only you possess — but if you have any questions about exercising your rights, contact us at the address below.
User Responsibility
Because all data is stored locally on your device, you are responsible for securing your Mac, managing backups, and ensuring that your invoicing practices and data storage comply with any applicable laws, regulations, or professional standards that apply to your business. This privacy policy should be read in conjunction with our Terms of Use, which contain additional details regarding data security, export, backups, and user responsibilities.
Children's Privacy
AdaptaBill is a professional billing tool designed for adult business users. You must be at least eighteen (18) years of age, or the age of legal majority in your jurisdiction (whichever is greater), to use AdaptaBill. The app is not directed at children and does not knowingly collect any information from minors.
Changes to This Policy
If we make material changes to this privacy policy, we will update this page and note the date of the most recent revision above. Because AdaptaBill does not collect contact information, we recommend checking this page periodically.
